MEETING ROOM POLICY

The activities and programs of the Cimarron City Library will have
first priority on a scheduled basis for the use of library facilities.
Groups may use the meeting room on a first come-first serve basis
but the library has priority and will constitute just reason for canceling
community meetings.
Library public meeting rooms are not available
for the following uses:
· Weddings
· Dances
Meetings which may interfere with the regular
use of the Library because of noise, activity, etc., will not be permitted.
All groups eligible to use the room will have
access to the furnishings and audio-visual equipment.
Each group using the room will be responsible
for setting up and returning the tables and chairs to their proper
place in the closets. The group will also be responsible for the cleanup
of big messes. Trash must be collected and put in the outside trash
container. The Library will provide further cleaning. (Non-profits
are expected to clean the facilities after a rental. If Non-profits
wish to have the facility cleaned after a rental, however, a fee will
be charged to cover cleaning costs.) If additional janitorial services
are needed to clean the facility after a rental, this will result
in forfeiture of the deposit.
A supervisor, age 21 or over, must be in attendance
at all times to accept responsibility for the conduct of the group
using the facility when minors are involved (18 & under) -- one
adult to 20 minors.
The library will not be responsible for accidents,
theft or personal injury.
EACH GROUP USING THE FACILITY WILL BE RESPONSIBLE
FOR ANY DAMAGE CAUSED TO THE BUILDING AND FURNISHINGS.
Deposits will be required for all groups (profit
or non-profit) having any kind of food and/or beverage during the
period of rental. ANY DAMAGE TO THE BUILDING AND FURNISHINGS WILL
RESULT IN FORFEITURE OF THE DEPOSIT. Deposits are to be picked up
by the renters no later than one month following the rental. If deposit
is left after that time, it will be considered a donation to the library.
SMOKING IS NOT PERMITTED. NO ALCOHOLIC DRINKS
ARE ALLOWED ON CITY PROPERTY.
ROOM RENTALS
(If only half of the Basement has been rented,
and it is evident that more than half has been used the full amount
of $75.00 will be charged.)
City of Cimarron and Gray County governmental groups may use the facility
free of charge. Gray County non-profit and religious groups may also
use the facility free of charge provided they meet the following non-profit
eligibility requirements:
· They are civic, cultural, charitable,
educational and information groups
· They are Library sponsored activities and groups
· No admission may be charged for those attending the meeting
(without Director approval in advance)
· No items may be for sale (without Director approval in advance)
